1.  Minutes from the December 27, 2008 Meeting
Moved to accept by Brian Edmison, seconded by Roy Fowler. Motion carried.

2.  Presidents Report

Al reported that there was not much activity throughout the year, as little projects occurring. In the summer, there was a controversy over a communications tower and we have time to discuss this later.

3.  Treasurer’s Report

Sheila gave report.
Motion from Dawn Remington to leave money in the Hydro account for another year. Seconded by Sheila Smith. Motion carried.
Lynne Beeson moved to accept Treasurer’s report. Seconded by Tracey Fowler. Motion carried.

4.  Hudson Bay Mountain Resort – Operating Report

Tag a Bag program – Chrissy described the Tag a Bag program. Cabin owners can purchase a tag for garbage and then can leave the bags with Hudson Bay Mountain to take town. Hours to purchase tags from 10:00 to 6:00 pm roughly. Also, Chrissy advised us that the staff at the Whiskey Jack Lounge is able to fill water containers for Cabin Owners. Please access this courtesy at times other than Peak hours (eg. Lunchtime)

Cabin Rentals – Nancy would like a central contact number for potential cabin rentals, as the Mountain is often approached for rentals. Cabin owners who want to rent their cabins and want to be notified of potential clients, please let Sheila know by email. She will create an email list of cabin rentals in the main hotmail account. Nancy would then send the clients’ email contacts to cabinowners@hotmail.com and Sheila will distribute the emails to those owners who are on the list.

Ski-doos – please stay off the ski area trails during operator hours. This is a safety issue, as no one wins when a skidoo and a skier meet up.

Dogs – keep them tied up. A ski patrol was threatened by a couple of dogs on Cannonball today. Please be responsible dog owners! Secondly, clean up after them, particularly around Prairie T.

Grooming – great job for grooming!

Lorne Borgel – 3 quick topics:

• Out of bounds rescues – have had 2 rescues thus far. Has asked for help from us to educate the public/cabin renters. Firstly, do not go alone in the Backcountry and always tell someone of where you are going and when you are going to return. Secondly, stay put when you realize that you are lost or in trouble. Thirdly, keep your equipment on.
• Emphasized the need for skidoos to be safe around the Ski Area, reiterated some of Mark’s concerns.
• Ski Hill Property Development – has set up an info center at the Back Door, and has had some considerations from several parties. Very keen to get the development going in 2010. There is a public hearing on Jan 11 for rezoning to change some single lots in the current proposal to townhomes, with a plaza with a store and coffee shop. Lorne stated that the company needs 20-30 lots to be sold in order to move ahead with development. If anyone has any concerns/interest/questions, then they can attend the January meeting.

5.  New business

• Communications tower – Taylor Baccarach spoke to this issue. Cybernet has a temporary permit to have the tower on the toboggan hill to provide Internet service to the Cabin Owners as well as Hudson Bay Mountain Resort. In February, Cybernet will have to reapply for Tenure to continue. Taylor suggested that there are 3 options: leave the tower where it is; 2/ move the tower to another location which meets the criteria for cybernet; 3/ Do we need the tower at all? Discussion ensued re: same. Al suggested that we wait for the Public Hearings to happen in February and that we, as an Association, can have a meeting on a weekend to discuss this issue.
• Mark requested for an updated Map of the Cabin Colony. Sheila will provide a copy of this to him. Dawn mentioned that Ski and Ride Smithers had been given a copy of this information for emergency situations, but was not sure if it had been forwarded to the management of Hudson Bay Mountain Resort. Mark requested an updated copy of all the contact numbers for the cabin owners. Sheila will forward a copy of this information to Mark.

6.  Elections of Officers

Al and Sheila offered their positions to be available for someone else. No one took them up on the offer!

Roy Fowler moved to waive fees for PCOA for this season. Seconded by Debbie Smith. Motion carried.
